What information we collect, use, and why

We collect and use the following information about our customers:

  • Health information that allows us to carry out the customer’s massage safely, primarily health conditions that if not known could cause pain or put the customer’s health and well-being at risk,
  • First name (not surname),
  • Mobile phone number.


The health information is entered directly by the customer on their first visit onto a paper sheet, which we store. It is identified only by the customer’s first name and last four digits of their mobile number. This means that the customer’s data cannot be linked to the customer, even if stolen, and maintains complete confidentiality. The first name and full mobile phone number is entered by the customer on a separate paper sheet, which is later destroyed.


We also use the customer’s first name and the last four digits of their mobile phone number to create a customer list on a computer database. This shows the customer’s massage preferences and where necessary a warning that the customer has one or more health conditions. This directs our therapist to refer to the stored paper details.


When we take deposits and payments for services over the phone, we directly enter the customer’s card details into the card machine. They are not written or stored by us in any way. Our card payment receipts (and the card holder’s) only show the last four digits of the long card number, which maintains data security. We store the receipts for a year, after which they are destroyed.


Lawful basis


Our lawful basis for collecting or using customer’s personal health condition information is:


  • Customer consent,
  • Requirement to safely give massage and other therapeutic treatments.


How long we keep information


We retain data on our customer list database for 5 years from the year of their last visit. Their health consultation paper sheets are also destroyed after this time.


Your data protection rights


Under data protection law, you have rights including:


Your right of access - You have the right to ask us for copies of your personal data.


Your right to rectification - You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.


Your right to erasure - You have the right to ask us to erase your personal data in certain circumstances.


Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal data in certain circumstances.


Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.


Your right to data portability - You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.


Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent.


You don’t need to pay a fee to exercise your rights. If you make a request, we have one calendar month to respond to you. To make a data protection rights request, please contact us using the contact details at the top of this privacy policy.
